How it works

A pipeline that handles the entire process.

Files dropped to a monitored network folder are picked up automatically. Each file is converted and analysed — document type, client name, and date extracted from the content. An LLM running on your own hardware handles cases where rule-based extraction isn't confident enough. The resolved customer name is checked against your CRM contact list; close matches are corrected automatically.

Documents where the system's confidence falls below a threshold are flagged for human review rather than processed automatically. A notification summarises the issue — a member of staff reviews and corrects before the document moves on.

Outputs land in a per-user folder. Every processed document carries its provenance embedded directly in the file using the PDF standard — readable by any PDF tool, portable across systems, permanent. A central reference holds the full processing history for every document across the organisation, queryable by client, type, date, or status.

Audit and compliance

Every document carries its own record.

Each processed document has three provenance layers. The most important is embedded directly in the file: a record of when it was processed, what was extracted, the confidence level, and a cryptographic hash of the original. This record travels with the document — it survives copying, renaming, and email attachment. It cannot be silently removed.

A central database holds the same information in queryable form, indexed by client, document type, date, and review status. An append-only log provides a tamper-evident audit trail.
